Payments – Refund, Transfer, Write-Off
How to do refunds, transfers between family members and write-off account balances.
NOTE:
In order to conduct a refund, the patient needs to have prepaid credit available in his/her account, otherwise, you will notice the account going into a negative balance.
In case you are looking to conduct a refund for a patient with no prepaid credit in his/her account, there are two ways to address the negative balance in the patient’s account:
1- Please use the “Write-off” option demonstrated in the video above. This will remove the negative balance from the account.
2- If the refund is intended for a product, please go to the patient’s account and double-click on the ledger item with the negative balance. You will be presented with the sale window for that ledger item. Use the red minus icon to remove the Money, refund item and add a product sale. Now choose the right product and change the quantity to minus one, “-1”. Select Credit Card or Cash.. Save and Close.
This process will add up the item to balance out the transaction and the credit will be added to the patient’s account. You can choose to keep that credit in the patient’s account and then use it to pay for any services in the future or you can click on the option “Sale” and conduct a Money refund, as demonstrated in the video above.

If you don’t have a practice manager and password – what do you do to write off?
Someone in your office has Practice Manager rights. They must authorize a write-off. This is to protect against theft. If you’re not sure who has the PM rights, in the log-in screen step through each user and look to see what groups they are in. You will find at least one user has PM rights.
