If you need to upgrade or otherwise replace your server you will need to relocation the Spinalogic data files from the old server to the new server. This post documents the process. It is intended for your IT provider so we can work with them to get a seamless changeover.

Overview

Spinalogic data is composed of two parts:

  1. A file share containing a bunch of files
  2. A sqlserver database

We have a special tool designed to move this data reliably and efficiently. Before we can use it however, there is some preparation to be done…

Preparation – Done by IT Provider

  1. Ensure the server has all the latest Windows updates applied
  2. Put the new server on the same network as the old server
  3. Ensure the network path is gigabit end-to-end. Otherwise data transfer may take days or weeks!
  4. Ensure all workstations have credentials set that allow them to access fileshares on the new server. We will be creating a fileshare \\NewServer\Spinalogic. e.g. run ‘control keymgr.dll’ and set appropriate windows credentials for the server on each workstation.
  5. Ensure the new server has credentials that give access to the \\OldServer\\Spinalogic fileshare
  6. Install teamviewer, ideally setting a permanent pw
  7. Submit a ticket to us by emailing ticket@spinalogic.org. Include the following:
    1. Teamviewer id and pw of the new server
    2. Server windows un and pw for us to use and admin creds if they are not admin themselves

Initial Data Transfer – Done by Spinalogic Support

Once we are notified of the above, we will connect to the server and do an initial data transfer. We will verify the setup is all in good order but will not change over the server.

This initial data transfer can be done while the practice is in operation so does not need to be scheduled.

We will then reach out to IT by replying to the ticket lodged above to arrange a time for the final step.

Final Data Transfer – Spinalogic Support and IT Provider together

At a time that the practice is not open, we will work together to finalize the data transfer:

  1. Re-run the data transfer – second run is quick as it only needs transfer data that has changed since the first run. Done by us.
  2. Disable Spinalogic on the old server – delete the fileshare and disable sqlserver services.
  3. Ensure each workstation can connect to the new server. This should be pretty easy – start the application, it will fail to connect and offer to go looking for the new server on the network. Usually it will just find it and connect.
  4. Celebrate 🙂
