Here are some notes on the reports to help you interpret their meaning. If you need details on a report not included here or need more details on a report, please submit a support ticket.

Financial

Billed By Doctor

Shows the dollar amounts billed by the doctor for services rendered between From date and To date. (This is based on ledger date.)

Counts are the same as Volume By Doctor but that report has no financials on it to facilitate discussion with team without getting distracted by money figures.

There is no consideration of appointments or payments, only ledger items including those billed at $0.00.

Collections By Doctor

Shows actual dollars collected for services delivered.

Filtered by payment date between From and To dates (not ledger date).

Item count is for item that have payments in the date range, not that are billed or have appointments. For this reason, the counts may differ to the Volume By Doctor report. If there is no payment, the ledger is not included.

Performance

Volume By Doctor

Shows how many of each Payment, Product or Service that the doctor has billed for.

These are billed items whether paid or not, including those billed at $0.00.

i.e. how many actual billed Payments, Products or Services.

Appointments do not affect this report, only billed items.

Filtered to ledgers dated between the From and To dates you specify. Note this is not payment date, but ledger date. For this reason, the counts may differ to the Collections By Doctor report.

Education

Promotion Performance

Comparison of performance of all promotions in a given date range including Profit Factor. Very powerful report for tracking the success of your promotions.

Only really meaningful if your CAs consistently record every patient referral source. To check this, use the Admin report, ‘Patients with no promotion set’ on a regular basis.

Notes

The date range for this report relates to the Release Dates of the Runs.

For a run to be included in the report, it must either start or finish during the date range you request or it must start before and end after the date range you request. i.e. the date range must involve the promotion.

As a result, small changes in dates that don’t cross boundaries of any given promotion will not affect the results of the report. This is normal. Remember, it is a ‘Promotion performance’ report, not a ‘Referral report’. i.e. it is bounded by promotion release date, not by patient create date.

Income is reported in thousands (note the column heading of ‘000) to make the column more compact and easily readable.

Administration

Patients with no further appointments scheduled

Shows a list of patients who have no future appointments scheduled. Patients are ordered by date last seen with the most recent first.

Set the ‘As at’ date to limit how far back the report will look. ** Note ** if you do not set the ‘As at’ date to some time in the past, the report will be empty.

The report is in two parts:

  1. Patients who have been seen by the selected doctor in the past. This is relative to the doctor in the past appointment, not the patient preferred doctor which means the report is useful for patients seen by multiple practitioners such as Chiropractor and Massage.
  2. Patients who have never been seen. In this case the patients are included if the selected doctor matches the patients Preferred Doctor.

Timing

Tells you how well you are running on time.

Wait time (min): Average time from patient registering arrival to being called.

Loaded time (min): Average time from patient logging in to the adjusting table to the adjustment being recorded.

Arrived On Time: Percentage of patients who arrived on or before the scheduled appointment start time

Called On Time: Percentage of patients who were called to the table on or before the scheduled appointment start time
